The short answer
- If you have Microsoft Word: open the PDF in Word. It converts automatically.
- If you do not: upload the PDF to Google Drive and open it with Google Docs, then download it as a Word file.
- If the PDF is a scan: use Google Docs or Adobe Acrobat, because they read the text from the image.
All three are free or already on your computer. Details for each are below.
Method 1: Microsoft Word (best for most files)
Word has been able to convert PDFs since 2013, and it works offline, so your document never leaves your computer.
- Open Word and choose File > Open.
- Select the PDF. Word shows a message that it will convert the PDF into an editable document.
- Click OK. Wait a few seconds for longer files.
- Edit, then choose File > Save As and pick Word Document (.docx).
What converts well: letters, reports, CVs and other mostly-text documents. What may shift: multi-column layouts, tables with merged cells, forms and heavy graphics. Expect to tidy up page breaks.
Method 2: Google Docs (free, works anywhere)
- Go to Google Drive and upload the PDF (New > File upload).
- Right-click the file and choose Open with > Google Docs.
- Google creates a new, editable document. Check it carefully.
- Choose File > Download > Microsoft Word (.docx).
Google Docs runs OCR (optical character recognition) during conversion, so it can extract text from scanned documents. It tends to drop complex formatting and images, so it is best when you need the words rather than the exact look.
Method 3: Adobe Acrobat
Adobe, which created the PDF format, offers a free online converter on its website for a limited number of files. The paid Acrobat Pro app converts in bulk and generally preserves formatting best, including tables and scanned pages.
If you only need to change a few words, Acrobat and some other PDF readers let you edit the PDF directly, which avoids conversion problems altogether.
Method 4: On a Mac without Word
macOS does not include a PDF-to-Word converter, but you have options:
- Google Docs, as above, works in any browser.
- Preview can copy text out of a PDF (select it and press Command + C), which you can paste into Pages or Word.
- Live Text on recent Macs lets you select and copy text even from scanned images opened in Preview.
Scanned PDFs: the main cause of failed conversions
A scanned PDF is a photograph of a page. To a computer it contains no letters at all, which is why some conversions produce an image you cannot edit.
To get usable text:
- Use a converter with OCR: Google Docs, Adobe Acrobat, or OneNote (insert the file as a printout, right-click and copy text).
- Start with a clean, straight, high-resolution scan. OCR struggles with shadows and skewed pages.
- Proofread. OCR confuses similar characters, such as 0 and O, or 1 and l, especially in numbers.
Keeping the formatting intact
- Convert the original digital PDF, not a printed-and-scanned copy, whenever you can.
- If the layout breaks, try another method. Word and Acrobat preserve layout better; Google Docs preserves text better.
- Turn on Show formatting marks in Word to see stray breaks and fix them quickly.
- For forms, it is often faster to retype the content into a clean template than to repair a messy conversion.
A privacy warning about free online converters
Many websites offer free PDF conversion. Before you upload, consider what is in the file:
- Fine to upload: brochures, public reports, recipes, articles.
- Keep offline: contracts, bank statements, payslips, tax forms, medical records, passport or ID scans.
Uploading means a copy sits on someone else's server, and free services vary in how long they keep files and who can see them. Use Word or another offline method for anything sensitive. Our guide to protecting your privacy online covers the wider habits. If the document is a job application, our guide to writing a cover letter helps with what goes in it.
Key takeaways
- Word converts PDFs offline: File > Open the PDF.
- Google Docs is free and handles scans with OCR.
- Scans need OCR, and the results need proofreading.
- Keep sensitive documents away from free upload sites.
